Your Data

  1. Where your work is done

Our teams work from our office in Gurugram, India: three operating suites in one building, Centrum Plaza on Golf Course Road.

Our teams work in shifts, including 24/7 cover across three shifts where a process needs it.

  2. How we access your systems

We do the work inside your own tools: your helpdesk, CRM, order systems and supplier portals.

    • You issue the accounts. Each of our people gets a named account from you, with the permissions you choose, and you can revoke it at any time.
    • Access matches the role. New team members start with limited access and gain more as they pass four competency stages. Payment and refund tools come last.
  3. Access controls

    • Need-to-know: every account gets only the access its role needs.
    • Changes follow HR records: access is reviewed and updated when someone’s responsibilities change.
    • Leavers: accounts are switched off when someone leaves, starting from HR’s exit notice.
    • Admin rights are limited to authorised IT staff.
    • Third-party access to our systems is authorised, time-limited, and removed when the work ends.
  4. AI and your data

    • We agree the tools with you. We agree in writing which AI tools may touch your data, and how.
    • No public AI without approval. Confidential, personal and client-restricted information never goes into a public or unapproved AI service.
    • A person reviews the output. Every AI-assisted workflow has a named owner, and our quality checks look for errors AI introduced.
    • No significant automated decisions. AI doesn’t make decisions with legal or similarly significant effects without human review.

  5. Data protection and transfers

For the work we do for clients, we act on your documented instructions, under our agreement with you. For our own website and recruitment data, we’re responsible as the controller.

Because our teams work from India, your data is accessed from India. Transfers are handled under our agreement with you.

  6. Keeping and deleting data

    • Purpose-limited: we keep information only as long as the work, the contract or the law needs it, then delete it, anonymise it or dispose of it securely.
    • Secure disposal: equipment and paper are disposed of securely, with a record kept.
    • At the end of an engagement, our access to your systems is removed.

Our Office, People and Continuity

  1. Our office and network

    • Biometric entry, individually assigned, on four access levels; IT, network and server areas restricted to authorised staff.
    • CCTV across the suites, with recordings kept for 90 days and access to footage restricted.
    • Fire, smoke and water-leak detection.
    • Network: a firewall at the edge, separate network segments, an isolated guest Wi-Fi network, and VPN for remote access.
    • Power: UPS in each suite, bridging to the building’s generator.
  2. People

    • Confidentiality, in writing. Everyone at MoreTasks is bound by our Code of Conduct to protect confidential, personal and client information, and the duty continues after they leave.
    • Checks at hiring. We verify identity and employment with recent employers before people join.
    • Induction covers our policies, system access and security duties: private passwords, locked screens, only approved software, and reporting incidents straight away.

  3. Business continuity

    • Shift cover: overlapping shifts, cross-training and written backup cover keep the work moving when someone is away.
    • Power: UPS in every suite, bridging to the building’s generator.
    • A documented plan: we keep a documented business-continuity plan.
  4. Reporting a security concern

If you notice something that could affect the security of your data or our services, email contact@moretasks.com.

    1. We log it and assess how serious it is.
    2. We contain it and investigate the cause.
    3. We fix the cause and recover.
    4. We review what happened, so it can’t happen the same way again.
